About the position: As an Administrative Assistant in a fast-growing company, you will have responsibility of assisting our Mexico City staff to help improve productivity. The ideal candidate is a self-starter who works well in a fast-paced environment.  We are looking for someone with high energy and a laser-like attention to detail. We also seek someone with the ability and inclination to roll up his or her sleeves and do whatever it takes to get a job done.

Location:             Mexico City, Mexico

Job Duties: 

  • Arrange and manage international and local travel and agendas
  • Coordinate high volume of meetings and appointments with internal and external attendees
  • Maintain online filing systems in SharePoint
  • Manage and distribute voicemails and fax correspondence sent to the main company line
  • Print, scan, photocopy and fax documents
  • Prepare national and international FedEx shipments
  • Scan and distribute incoming mail
  • Keep track of credit card receipts, assist with month-end credit card reconciliation and prepare expense reports
  • Manage a high volume of legal documents including coordinating signatures, notary, and apostille
  • Serve as the gatekeeper for the management and communicate professionally to external partners on their behalf
  • Additional administrative projects from various departments as assigned
  • Maintain office supplies and equipment inventory by anticipating supply needs
  • Greet guests and provide general support to visitors
  • Run business related errands
  • Order lunches on an individual basis and for large group meetings
  • Handle personal information with discretion and confidentiality
  • Plan staff social events, team retreats, and celebrations
