About the position: As an Executive Assistant in a fast-growing company, you will have responsibility of assisting our executive staff to help improve productivity. The ideal candidate is a self-starter who works well in a fast-paced environment.  We are looking for someone with high energy and a laser-like attention to detail. We also seek someone with the ability and inclination to roll up his or her sleeves and do whatever it takes to get a job done.

Job Duties: 

Administrative Support

  • Provide high touch support to CEO, COO, CAO, and CFO
  • Arrange and manage travel and agendas
  • Coordinate high volume of meetings and appointments with internal and external attendees
  • Maintain online filing systems in SharePoint
  • Manage and distribute voicemails and fax correspondence sent to the main company line
  • Print, scan, photocopy and fax documents
  • Prepare national and international FedEx shipments
  • Scan and distribute incoming mail
  • Keep track of credit card receipts, assist with month-end credit card reconciliation and prepare expense reports
  • Manage a high volume of legal documents including coordinating signatures, notary, and apostille
  • Coordinate and organize company social events/outings
  • Serve as the gatekeeper for the executive staff and communicate professionally to external partners on their behalf
  • Coordinate with Administrative Assistants located at Globalization Partners international offices
  • Additional administrative projects from various departments as assigned

Office Management

  • Maintain office and kitchen supply and equipment inventory by anticipating supply needs
  • Greet guests and provide general support to visitors
  • Run business related errands

Personal Assistance

  • Run personal errands for executive team members
  • Order lunches on an individual basis and for large group meetings
  • Handle personal information with discretion and confidentiality

Requirements

  • BS/BA Degree required
  • Experience with Microsoft Excel, Word, Outlook and SharePoint
  • Excellent verbal and written communication skills
  • Ability to work in a fast-paced environment
  • Ability to pay meticulous attention to detail
